Front Office Associate


 

We are looking for a Hotel Front Office Associate who is responsible for greeting guests in an efficient and courteous manner. As the first face that many see upon arrival, the Front Office Associate checks guests in and out of their rooms, distributes room keys, answers questions and processes payments for hotel services.

Responsibilities and Duties

  • Performs check-in and check-out procedure;

  • Assist in the pre-registration and blocking of rooms for reservations;
  • Understand and adhere to proper credit, check to cash, and cash handling policies and procedures;
  • Know room locations, types, and room rates;
  • Use suggestive selling techniques to sell rooms and promotes other services of the hotel;
  • Ensure all expected arrivals have pre-booked rooms;
  • Log in and read communication logbook; turn over to the next shift any important instructions and pending items;
  • Check for any action memos or department memos that pertain to staff, signs once read and understood;
  • Endorse any pending matters from the previous shift to the Front Office Manager;
  • Coordinate room status updates with the housekeeping department notifying them of all check-outs, late check-outs, early check-in, and other special requests;
  • Verify method of payment and ensures that sufficient credit card approval has been obtained upon check-in to ensure fast check-out service and security;
  • Ensure that only authorized persons are allowed at the Front Desk area;
  • Handle and promptly acts on guest complaints to ensure optimum guest satisfaction;
  • Inform Front Office Manager of guest complaints about the notation in the Guest History File;
  • Reports any unusual occurrences or requests to the Front Office Manager;
  • Be familiar with the hotel facilities for the purpose of assisting guests and giving them correct information;
  • Ensure that all guests consistently receive prompt, efficient, and friendly service;
  • Attend regular staff meetings in order to keep updated with the information and procedure relating to Front Desk Operations;
  • Perform other duties assigned by the immediate superior.

Qualifications and Skills:

  • Graduate of BS in Tourism Management, Hotel and Restaurant Management or any related course
  • Preferably with at least 6 months to 1 year of work experience as a Front Office Associate in the Hotel Industry
  • Attentive, courteous, and service-oriented person
  • Possesses excellent English communication skills in both written and verbal
  • Possesses pleasing personality
  • Possesses excellent customer service skills
  • Willing to work on a flexible schedule
