Contract Recruiting Administrator

The Contract Recruiting Administrator will be a centralized regional role, handling the administrative recruitment lifecycle from verbal offer acceptance to the second day of New Hire Orientation. Responsibilities will include processing candidate applications, organizing documentation, tracking onboarding completion, ensuring proper equipment orders, and more, utilizing both the Applicant Tracking System (ATS) – TalentLink, Microsoft Excel trackers, and other internal HRIS tools.

The role is hands-on and requires excellent proficiency in Excel for managing and updating various manual trackers. The ability to work at a brisk pace and manage multiple tasks with high attention to detail is a must. This role is integral to our recruitment process and needs a self-starter who is adept at navigating ATS applications.

In this role you will:
  • Manage administrative tasks throughout the recruiting lifecycle including Offer Letter creation, processing, and Confirmation of Availability. 30%
  • Monitor, track, and document pre-boarding completion. 20%
  • Manage TalentLink applications and ensure proper credential requests and equipment order forms. 20%
  • Proctor New Hire Orientation, monitoring, documenting, and supporting new agent onboarding. 20%
  • Handle Ivanti Ticket Submissions and other related tasks. 10%
We are looking for someone who has:
  • 1-3 years of experience in recruitment administration, or a similar role.
  • An associate degree is preferred.
  • Proven experience managing multiple priorities in a high-paced, high-volume environment.
  • Demonstrated experience working with various ATS platforms, preferably TalentLink.
  • Advanced proficiency in Excel and comfortable with other PC applications (Word).
  • Strong team player with excellent oral and written communication skills.
  • A self-starter with a high sense of urgency and an inclusive, highly collaborative nature.
  • Knowledge of employment laws and regulations is beneficial.
